The European Film Academy was founded in 1989 on the initiative of leading European filmmakers. Its founding members included Ingmar Bergman, the Academy's first President, together with 40 other distinguished filmmakers. He was succeeded by Wim Wenders, Agnieszka Holland, and, since 2024, Juliette Binoche as President.

Today, the European Film Academy brings together around 5,700 film professionals from across Europe. It promotes collaboration within the European film industry, recognizes and supports outstanding European filmmaking, and helps bring European cinema to a wider audience.

At the heart of its activities are the European Film Awards, the annual highlight of the European awards season. The ceremony alternates between Berlin and other European cities, reflecting the diversity and international character of European cinema.

In addition, the Academy is committed to preserving Europe's cinematic heritage and to introducing European films to younger audiences.

Since 2008, we have been working with TablePlanner for guest management, production-related seating assignments, and ticketing. Since 2023, this has included an online ticketing system with email ticket distribution and QR code ticket scanning via a smartphone app.

Each year, more than 1,000 guests from across Europe are managed using TablePlanner and its online database. The system's role-based access allows our team to work collaboratively from different locations while securely maintaining and updating guest information.

A key requirement for the European Film Awards is maximum flexibility. The venue layout and, consequently, the seating requirements vary depending on the event concept and host city. TablePlanner enables us to import any venue layout and adapt it to our specific needs, including multiple levels, boxes, seating sections, row numbering, and other venue-specific features.

Within the graphical seating plan, we use a color-coding system and additional visual markers to instantly identify audience members who are relevant for television camera positions. This feature is essential for the TV production team, enabling the clear identification of nominees, award winners, presenters, and other guests assigned to camera-relevant seats. Last-minute seating changes or unexpectedly vacant seats can be updated immediately and communicated to the production team in real time.

Data import and reporting are equally important aspects of TablePlanner. In addition to guest and seating lists, the system generates hotel accommodation lists, ticketing reports, transportation schedules, and many other customized reports. Since virtually every data field can be imported and exported, up-to-date information is available at the push of a button. These reports, often updated several times per hour, are indispensable for teams with different responsibilities, including guest services, hostesses, and television production.
